Privacy Policy

The short version: We collect your phone number so finders can contact you when they find your lost golf clubs. We don't sell it, share it for marketing, or send you any messages other than verification codes when you register or log in.
1. What we collect
When you register a Retriiv tag set, we collect:
- Your phone number (US/CA only at this time), which is used both to verify ownership and to be displayed to anyone who finds your golf clubs and scans a tag.
- An optional label you provide for the tag set (e.g., "Dan's clubs"), visible only to you in your dashboard.
When anyone scans a tag, we log:
- The time and date of the scan
- The country, state, and approximate city derived from the visitor's internet connection (via Cloudflare)
- The device class (mobile, desktop, tablet)
- A one-way hash of the visitor's IP address (we never store the raw IP)
- The browser user-agent string
The time, approximate city, and device class are shown to the tag owner in their dashboard so they can see when and roughly where their tags have been scanned. The IP hash and full user-agent string are never shown to anyone — they are used internally for analytics and abuse detection only.
2. How we use your phone number
We use your phone number for the following purposes:
- Account verification. We send a 6-digit code via SMS when you register a tag set and when you log into your dashboard.
- Display to finders. When someone scans a tag from your set, your phone number is shown on a page with one-tap Call and Text buttons. The finder uses their own phone to contact you directly.
- Anonymous notes from finders. A finder can choose to send you a short, one-way anonymous text note through Retriiv. We send the note to you via SMS from our Twilio number; the finder's phone number is never collected or shared. The note also appears in your dashboard.
3. Who we share your information with
We do not sell your information to third parties. We do not share your information with third parties for marketing purposes.
We use the following service providers to operate Retriiv:
- Cloudflare — hosting, DNS, content delivery, security (Turnstile CAPTCHA, Access for admin auth)
- Twilio — phone number validation and sending SMS verification codes
These providers process your information only as needed to operate the service.
Anyone who scans one of your tags will see your phone number, by design. This is the core function of the product.
4. How long we keep your information
- Phone number and label: retained while your tag sets are active. Deleted immediately when you delete your account from the dashboard.
- Scan logs: retained for 90 days, then permanently deleted.
- One-time SMS codes: deleted after use or after 5 minutes, whichever comes first.
5. Your choices
- Deactivate a tag set. From your dashboard, you can deactivate any tag set. Deactivated tags no longer show your phone number to finders.
- Delete your account. From your dashboard, you can permanently delete your phone number, all labels, and deactivate every tag set you've registered.
- Stop receiving SMS. Reply STOP to any verification SMS to opt out. Note: opting out will prevent you from logging in or registering new tags.
6. Security
Your phone number is stored on Cloudflare's infrastructure, encrypted in transit and at rest. SMS verification codes are hashed before storage and are single-use with a 5-minute expiry.
7. Children
Retriiv is not directed to children under 13. We do not knowingly collect information from children under 13. If you believe a child has provided us with their information, email us at support@retriiv.it and we will delete it.
8. Changes to this policy
If we change this policy in a material way, we'll update the "Last updated" date above and notify active users via SMS the next time they log in.
